Scott Rice is looking for a sales support specialist to work directly with the sales and design teams as well as clients to assist in the sales process. The sales coordinator will help maximize productivity of the sales team by responding to bids, preparing proposals and quotes, placing orders and scheduling.   The sales support specialist serves as the key connector between sales and other internal (integrated) departments and vendors. 

Responsibilities

  • Work with team comprised of members of the Sales, Design, Project Management and Account Coordinator divisions to successfully manage projects from inception to completion.
  • Respond to all customers immediate needs and may act as a primary contact for incoming calls/emails for quote or order requests. Maintain and support on-going client relationship and provide general customer service as needed
  • Maintain detailed project documentation of key project decisions and customer/project requests/revisions
  • Utilize the Hedberg system to create quotes, check orders, service items and access other information contained in the system.
  • Assist sales and marketing with competitive bid responses. Coordinate awarded scope with team and identify specials, COM's, vendor scopes and project schedule.
  • Coordinate with support team to identify opportunities to increase operating efficiencies and profitability as well as implementation of best practices and process improvements.
  • Provide outstanding service and value through collaborative problem-solving and timely response to client requests
  • Engage with Design team to develop quote for individually tailored solutions.
  • Develop an understanding of vendor requirements, catalog structure, contracts and specification process to achieve highly effective proposal development. 
  • Enter project specifications, coordinate with Account Coordinators to manage purchase orders, track and monitor all aspects of order and delivery. 
  • Proactively communicate potential issues to all key stakeholders, including sales team, Scott Rice leadership team, customers, vendors. 
  • Work with team to manage project execution from bid, to order to delivery.  Coordinates with Process Integrator on project schedule, installation and closeout. Ensure all project work is completed from start to finish within customer timeline and to their satisfaction.   
  • Serve as the internal connector to coordinate integrated project scopes and refine as one streamlined proposal/solution.
  • Support walk-in/call-in sales needs as necessary.

Required Skills        

  • Effective Communication Skills: Excellent verbal and written communication and presentation skills.  Thrives in collaborative, team-oriented work environment.  Ability to read and interpret architectural drawings. 
  • Collaborative Spirit: Excellent interpersonal skills.  Acquires and maintains positive relationships internally and externally. Mature, credible, and comfortable in dealing with senior level executives.
  • Demonstrates Initiative: Self-starter with ability to manage multiple concurrent projects with strong organization, time management, and oral/written communication skills. Excellent critical thinking skills. Ability to seek out appropriate information to make effective decisions.
  • Proactive and Motivated: Self-driven and results-oriented. A clear focus on high quality and creativity. Takes risks and champions new ideas. Prioritize tasks to meet deadlines.

Required Experience

  • Bachelor's degree in Interior Design, Project Management or related field or equivalent work experience.   Experience in furniture industry a plus.
  • Proficient in Microsoft Office, Outlook
  • Experience with CET, AutoCAD, Revit, SketchUp, PhotoShop, Illustrator, Acrobat Pro, Bluebeam optimal, but not required.
  • Experience with a furniture dealership or architecture firm optimal, but not required.
  • Ability to travel as needed.
